Generative AI Enterprise Licence Pilot

This six-month pilot trialling the use of premium Generative AI tools such as Microsoft Copilot and ChatGPT Enterprise aims to help the University to evaluate how colleagues can benefit from NextGen tools in Oxford’s day-to-day setting.   

Who is involved? 

The new AI and Machine Learning Support Competency Centre – introduced as a part of Oxford’s digital transformation - is working to road-test new AI technologies with colleagues from across Oxford. Over 500 representatives from across the University – from research to administration to academia – have been provided licences for ChatGPT Enterprise and Microsoft Copilot. The cohort has been selected from a range of divisions and departments to help explore the various ways in which AI/ML tools can be applied as well as understanding where these premium tools can significantly improve productivity.  

What is this for? 

It’s all about helping colleagues to get hands-on with AI in a setting where the institution can learn from people’s experience. The goal is that, through regular feedback forums and light usage monitoring, the AI and Machine Learning Support Competency Centre team will be able to understand the benefit of premium Generative AI tools as well as unlocking new capabilities for these systems. The pilot will be able to inform the University as to how best to implement and embrace Generative AI. 

What’s the difference between this and the free versions?  

The Enterprise versions means that the University’s data is contained within a confidential space instead of being made available publicly.  

 

FAQs

You will still have access to the free tier of approved Generative AI tools, including basic Microsoft Copilot and ChatGPT. We may have more licences available later this year and will reconsider applications should they become available. For more information about how to use these tools safely, please refer to this guide. 

If you are paying for a subscription to a service, you can continue doing that. If you are interested in subscribing to a particular AI-powered tool, the AI & Machine Learning Support Competency Centre may be able to provide discounted access or grants to test specific functionality. 

If you want to use one of these tools with University data, you can log into Copilot with your SSO and your data will be protected. You can also opt out of having your chats saved in ChatGPT.

Our aim with this pilot is to investigate the potential of AI tools in the work of the University. With this in mind, we chose pilot participants to represent various use cases from across the institution. We tried to represent every division and split licences between research, administration and education, which unfortunately meant tough choices. We also gave preference to applications that articulated a specific, unique use case, and applications from teams rather than individuals. 

We took into account all applications to help us understand the general interest and may contact those not selected for the pilot. 

The purpose of this pilot is to explore the ways in which these premium versions of generative AI tools can add to our productivity in a variety of different use cases. Through this we hope to unlock new possibilities for how AI can be incorporated into working life, while retaining the integrity and standards for which Oxford is known. 

We have the Enterprise agreement with OpenAI that guarantees any data entered into ChatGPT Enterprise will not be used for training or populate the public large language models, which makes it secure and suitable for confidential information. 

Any data Copilot has access to is covered by our existing security agreement with Microsoft, you can use it with any data that you would put in OneDrive or SharePoint. 

Note on data  

Both tools are suitable for all confidential and personally identifiable information. We have an agreement with both OpenAI and Microsoft to not use the University data for training, finetuning or evaluating their models.   

Note on development of custom bots (GPTs) and prototyping  

Our licences allow for the development and sharing of customised bots (GPTs). These bots can only be used by other users of the paid services (including across Teams) but not by users of the free version of ChatGPT or Copilot. They are compatible but not transferable between services. They cannot be used once subscription ends but can be used as prototypes for custom bots developed using the API. API access is not part of this pilot but can be procured separately by participating teams or individuals.
