Programme Phases 

The programme is being delivered in three phases, to the creation of a single CRM platform that meets the essential needs of users across the University. 

  • Phase one (2025-2026): The initial discovery and development of a CRM system that meets the needs of early adopter teams, Development and Alumni Engagement, Oxtalks and HR.
  • Phase two (2026 -2027): The development of a single CRM system that supports the entire student lifecycle from prospect through to alumni, while continuing platform configuration. 
  • Phase three (2027 - 2028): Full University-wide adoption with the move from programme delivery to business as usual. 

Current Status 

We are pleased to report that the CRM Programme has received unanimous approval from the Information and Digital Committee (IDC). Collaborative workshops involving colleagues from various university functions are currently underway to shape and tailor the programme. The approved Statement of Work (SoW) with Microsoft outlines activities and timelines for the initial phase. Discovery workshops have been completed, with functions from across Oxford engaging with Microsoft and their delivery partners to share their needs and explain their use cases for a CRM platform. The delivery teams are building functionality for the early adaptor teams and key colleagues are invited to attend meetings to provide feedback. Discovery work for phase 2 has began with functions from across the University invited to workshops. 

Engagement and Collaboration 

Collaboration and co-creation are at the heart of the CRM Programme. We are inviting colleagues from across the University to participate in workshops, provide feedback, and engage with the programme team to ensure that our outcomes are met. 

We are committed to sharing regular updates throughout the programme to help you understand what is happening and to provide you with opportunities to input. We will use a combination of established channels, such as the bulletin, the Oxford Digital Transformation website and local newsletters to share out latest updates. Your questions, feedback, and involvement are crucial to our success. 

Next Steps 

Microsoft and their partners are working to build a Minimum Viable Product (MVP), the simplest version of a product that will work for early adopter teams. 

The CRM Programme represents a significant step forward in Oxford University's digital transformation journey. By enhancing collaboration, improving engagement, and increasing operational efficiency, the CRM Programme will help Oxford maintain its unique place in the world by being digitally fit for the future.
