WHAT’S HAPPENING?

Oxford Events is launching soon

Oxford Events, the new replacement for OxTalks, will be launching soon. There will be a freeze period prior to launch during which all events will be migrated to the new Oxford Events site. We will be updating this page over the coming weeks with further details on how to use Oxford Events, specific launch dates, and information about the API for website managers. In the meantime, we encourage users to continue publishing events on the OxTalks site.

Below, you will find a short list of user instructions to ensure that everyone is ready to transition to the new platform by the go-live date. Please follow the guidance below to find out what you need to do next. 

Powered by the Digital Transformation Programme and hosted on the Halo platform, this new events listing site will be based on the latest, best-practice technology. The new functionality, aligned with the Transforming Oxford's Digital Communications programme, will enhance the user experience in promoting events. 

 

Website Manager instructions 

If you manage a website that utilises the current OxTalks API, your event feed will need to switch to the new GetEvents API. To stay informed of the switch over plans, please provide us with details of any website(s) where the curated calendars appear including site URL, and a contact name for the team managing the website(s)/intranet.

Collections/series curator instructions 

If you curate collections/series of events, you will need to be granted access to the Halo CRM to become an Event Editor. Ahead of launch, Event Editors will need to re-create bespoke calendars within Halo. You will be provided with step-by-step guidance on how to use the platform. If you haven’t already been in touch, please send your name and organisational unit to halo@digital.ox.ac.uk

 

Collections/series contributor instructions 

If you currently submit events on behalf of a unit/group you will become an Event Contributor and we will provide step by step guidance of how to submit events. Please send your name and organisational unit to halo@digital.ox.ac.uk

 

If you have multiple roles (e.g. series curator and series contributor) 

If you currently fulfil multiples roles, you only need to email us once with your details and please specify which roles you currently fulfil. 

 

Do we have your details already? 

OxTalks users who have already been in touch with the Halo team with their details do not need to submit them again. 

 

THE FUTURE VISION AND OPPORTUNITY FOR OXFORD EVENTS WITH CRM 

Whilst much of the functionality of Oxford Events will remain the same as on OxTalks for now, there is potential to align with the Events Management functionality on Halo in future, to help track event registrations/attendance and to receive feedback from them. This should enable upcoming events to be more effectively marketed, by helping contributors to understand who has attended particular types of events in the past and potentially pointing event attendees to Continuing Education/Online Education courses related to their area of interest.
